This Privacy Policy describes how Translate Updates (the "App," "we," "us," or "our") collects, uses, and handles your information when you use our App through the monday.com platform. As a monday.com marketplace app, Translate Updates operates within the security and privacy framework provided by monday.com.

1. Information We Collect and How We Collect It

When you install and use Translate Updates, we may collect or access the following information:

  • Account and User Information (via me:read, account:read): We access your monday.com user and account identifiers to associate your translation settings and configurations with your monday.com instance.
  • Board Information (via boards:read): We access identifiers and basic information about your monday.com boards that you select to enable translation services on. This allows us to apply specific settings to designated boards.
  • Language Preferences: We collect and store the global default translation languages you set at the account level and any board-specific language preferences you configure. This is essential for the App to know which languages to translate to and from.
  • Content of Updates and Replies (via updates:read): To provide our translation service, we access the textual content of new updates and replies posted on monday.com boards where you have activated the App and its corresponding automation.
  • Authorization to Post Translations (via updates:write): We require permission to post the translated content back to your monday.com board as a new update or reply.

2. Purpose of Data Collection and Use

We collect and process your information for the following limited purposes:

  • Providing Translation Services: The primary purpose is to automatically translate the content of new updates and replies on your selected monday.com boards from a source language to one or more target languages using our self-hosted translation services.
  • App Functionality and Configuration:
    • To save and apply your chosen global and board-specific language settings.
    • To identify which boards have translations enabled.
    • To post the translated text back to the relevant monday.com board.
  • Improving our Services: We may use anonymized and aggregated usage data (which does not identify you or your specific content) to understand how our App is used, to troubleshoot, and to improve its functionality and user experience. We do not analyze the specific content of your translations for this purpose.

3. Data Storage, Protection, and Retention

  • Configuration Data: Information such as your monday.com account/user identifiers, associated board identifiers for which translation is enabled, and your chosen language preferences are securely stored on our servers to ensure the App functions correctly according to your settings. We retain this configuration data as long as the App is installed and configured in your monday.com account, or until you request its deletion.
  • Content of Updates and Replies (Transient Processing on Our Servers): The textual content of your updates and replies that require translation is processed transiently on our self-hosted servers operating on our Virtual Private Server (VPS). The data is used solely for the purpose of generating a translation. It is NOT persistently stored on our servers after the translation process is complete and the translated content is posted back to your monday.com board. We do not retain the original or translated content of your communications beyond this transient processing period.
  • Data Security: We implement reasonable administrative, technical, and physical security measures to protect your configuration data and the transient processing of your content on our VPS from unauthorized access, use, alteration, or destruction. All data transmitted between your monday.com instance and our App (including our self-hosted translation service) is encrypted using HTTPS.

4. Sharing of Information with Third Parties

  • Self-Hosted Translation: The core translation of your update and reply content is performed by our own translation services, self-hosted on our VPS. This means the textual content of your updates and replies processed for translation is NOT shared with external third-party translation service providers.
  • Service Providers (Infrastructure): We may use third-party service providers for hosting our application (the parts that connect to monday.com and manage configurations) and our self-hosted translation services (e.g., VPS providers). These providers do not have direct access to or use the content of your translations, and we choose reputable providers with strong security practices.
  • monday.com: As a monday.com marketplace app, certain interactions and data sharing are inherent to the platform's functionality, such as the authorization scopes you grant. Please refer to monday.com's privacy policy for details on how they handle your data.
  • Legal Requirements: We may disclose your information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation, protect and defend our rights or property, or in urgent circumstances to protect the personal safety of users or the public.
  • No Sale of Data: We do not sell your personal data or the content of your communications to third parties.

5. Your Rights Regarding Your Data

You have certain rights regarding the information we handle:

  • Access and Control: You can review and modify your global and board-specific language settings within the App's configuration interface in monday.com.
  • Revoke Permissions: You can revoke the permissions granted to Translate Updates at any time through your monday.com account settings. Doing so may limit or disable the App's functionality.
  • Data Deletion (Configuration Data): If you uninstall the App, your associated configuration data stored on our servers will be scheduled for deletion in accordance with our data retention policies. You can also contact us to request the deletion of your configuration data.
  • Right to Not Use the App: If you have concerns about our data handling practices, you can choose not to install or use the App.

6. Disclaimer of Liability

By using Translate Updates, you acknowledge and agree to the following:

  • User Responsibility for Content: You are solely responsible for the content of the updates and replies you and your team members post on monday.com boards.
  • Accuracy of Translations: While we strive to provide accurate translations through our self-hosted services, translations are automated and may contain errors or inaccuracies. We are not liable for any decisions or actions taken based on translated content.
  • App Provided "As Is": The App is provided on an "as is" and "as available" basis.
  • Limitation of Liability: To the maximum extent permitted by applicable law, we shall not be liable for any direct, indirect, incidental, consequential, or special damages arising out of or in any way connected with your use of or inability to use the App.

7. Compliance with Privacy Regulations

We are committed to complying with applicable privacy laws and regulations, including principles found in regulations like GDPR and CCPA, to the extent they apply to our services and data processing activities. We rely on monday.com's platform compliance for aspects of data processing handled by them. By self-hosting our translation services, we maintain greater control over the data processed for translation in line with these principles.

8. Children's Privacy

Our App is not directed to individuals under the age of 16 (or a higher age threshold if stipulated by local laws), and we do not knowingly collect personal information from children.
