This Privacy Policy describes how TransForm (the "App"), provided by Workflow Polyglots ("we," "us," or "our"), collects, uses, and handles your information when you use our App through the monday.com platform. TransForm is designed to help you create public web forms from your monday.com boards and collect data directly into those boards.

1. Information We Collect and How We Collect It

When you use TransForm, we may process the following types of information:

• Board Data for Form Configuration: With your explicit authorization via monday.com scopes (typically boards:read to read column structure and boards:write to create items), we access:
  • The structure of your selected monday.com boards (e.g., board ID, board name, column IDs, column titles, column types, and options for status/dropdown columns). This is used to generate the form fields and configure the form.
  • Your monday.com user ID and account ID, to associate configurations with your account.
• Form Configuration Data: We store information about the forms you configure, such as:
  • A unique ID for each form.
  • The monday.com board ID the form is linked to.
  • The selected monday.com columns to be included in the form, their display titles, types, and options.
  • The detected original language of the form content (e.g., board name, column titles).
  • The active/inactive status of the form.
  • Timestamps for creation and modification.
  This data is stored on our secure servers to allow your forms to function and be accessible via their public URLs.
• Data Submitted Through Public Forms ("Form Submissions"): When an end-user submits data through a public form generated by TransForm:
  • The data entered by the end-user is transmitted through our servers.
  • This data is used to create a new item in your designated monday.com board.
  • If the form was submitted in a language different from the board's original language, the textual parts of the Form Submission may be processed by our translation service to re-translate it to the board's original language before item creation.
• Language Preferences for Public Forms: When an end-user selects a language on the public form interface, this preference is used to translate the form content for that user's session. We do not persistently store individual end-user language preferences.

2. Purpose of Data Processing

We process your information for the following purposes:

• To Provide App Functionality: To enable you to create, configure, and share public web forms; to allow end-users to submit data through these forms; and to automatically create items in your monday.com boards based on these submissions.
• To Provide Multilingual Capabilities: To translate the public form interface for end-users and to re-translate Form Submissions to your board's original language if necessary.
• To Maintain and Improve the App: To operate, secure, and improve the App's performance and features. We may use anonymized and aggregated data for analytics and improvement.
• To Store Your Form Configurations: To ensure your created forms persist and are accessible via their unique URLs until you reconfigure or the service is terminated.

3. Data Storage, Protection, and Retention

• Form Configuration Storage: Your form configurations (as described in Section 1) are stored securely on our servers (e.g., using reputable cloud providers like AWS or Google Cloud with appropriate security measures).
• Form Submission Processing: Form Submissions pass through our servers transiently for the purpose of creating items in your monday.com board and for potential re-translation. We do not persistently store the content of Form Submissions on our servers after they have been successfully transmitted to your monday.com board. Logs of submission events (e.g., timestamp, form ID, success/failure status, but not the submitted data itself) may be kept for troubleshooting and operational purposes for a limited period.
• Data Security: We implement reasonable administrative, technical, and physical security measures to protect your information from unauthorized access, use, alteration, and destruction. This includes encryption in transit (e.g., HTTPS) and at rest for stored configuration data.
• Data Retention:
  • Form configuration data is retained as long as your form is active or until you request deletion, or your subscription/use of the App terminates.
  • Transient Form Submission data is not intended for long-term storage on our systems.

4. Sharing of Information

• With monday.com: The App inherently interacts with your monday.com account to read board structure and write new items based on Form Submissions, as per the permissions you grant.
• With Our Translation Service: Textual data from your form configuration (board name, column titles, options) and from Form Submissions may be processed by our self-hosted or carefully vetted third-party translation service providers solely for the purpose of providing translation features. We aim to use providers with strong data privacy commitments.
• Service Providers: We may use third-party service providers for hosting, infrastructure, and other operational support. These providers are contractually bound to protect your information and only use it for the services they provide to us.
• Legal Requirements: We may disclose your information if required by law, subpoena, or other legal process, or if we believe in good faith that disclosure is reasonably necessary to protect our rights, property, or the safety of our users or the public.
• Business Transfers: If Workflow Polyglots is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction.

We do not sell your personal information or form configuration data to third parties.

5. Your Rights and Choices

• Access and Control via monday.com: You control which boards TransForm can access through the monday.com permissions system. You can revoke these permissions at any time.
• Form Management: You can activate or deactivate your forms through the App's interface. Reconfiguring a form (e.g., changing selected columns) may result in a new form URL and deactivation of the old one.
• Data Subject Rights: Depending on your location, you may have certain rights regarding your personal information, such as rights of access, correction, deletion, or restriction of processing. As we primarily store form configuration data linked to your monday.com account, requests related to this data can be made to us. Data within your monday.com boards (including items created from Form Submissions) is under your control within the monday.com platform.
• End-User Data: If you are an end-user submitting data through a form created by TransForm, your data is being collected by the monday.com user who created the form. Please refer to their privacy notices and direct any data subject requests to them.

6. International Data Transfers

Your information, including form configuration data, may be transferred to — and maintained on — computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ. We will take appropriate safeguards to protect your information in accordance with this Privacy Policy.

7. Children's Privacy

The App is not intended for use by children under the age of 16 (or a higher age threshold if stipulated by applicable local law), and we do not knowingly collect personal information from children.

9. Changes to This Privacy Policy

We encourage you to review this Privacy Policy periodically. Your continued use of the App after the posting of changes constitutes your acceptance of the revised Privacy Policy.
